The short answer: An AI assistant is an AI chat set up once for one job, so you stop explaining yourself every time. To build your own, open a Project in Claude, write instructions for the job, upload the files it needs (price list, past work, rules), fix the shape of the answer, then test it on a real task before you trust it.
Most people use AI one question at a time. They paste the same background into every new chat, get an answer that is nearly right, and fix it by hand. An assistant removes that waste. You decide once how the job should be done, and the assistant follows that decision every week.
This guide shows how to build one on a free Claude account, with no code. It uses the same method we teach in AI Essentials, our one-Saturday course in Nairobi.
What is an AI assistant, and how is it different from a chatbot or an agent?#
An AI assistant does one job for you, the way you want it done, and hands you a draft. A chatbot talks to your customers for you. An agent takes actions in your other tools. Most small businesses should start with an assistant.
- Assistant: you ask, it drafts, you check and send. Example: a Quotation Builder that turns a customer's WhatsApp request into a priced quotation in your format.
- Chatbot: it answers your customers directly, usually on your website or WhatsApp. It needs careful rules because nobody checks each reply before it goes out.
- Agent: it works inside your calendar, inbox or accounts, for example finding overdue invoices and drafting reminders. It should ask before it does anything that cannot be undone.
The word "agent" is used loosely online. If a tool claims to run your business on its own, ask what it does when it is wrong. An assistant that drafts and waits for your approval is safer, cheaper and quicker to set up.
Which assistants do people build most?#
People build an assistant for the job that takes most of their week. In our AI Essentials class, each participant picks one from this list, based on where their time goes.
- Social media and marketing: Content Manager
- Proposals, quotes and tenders: Quotation Builder, or Proposal and Tender Analyst
- Customer messages and follow-up: Customer Reply Agent, or Follow-Up Officer
- Paperwork and admin: Inbox Officer, or Meeting-to-Minutes Agent
- Reports and documents: Report Writer
- Research: Research Assistant
- Accounting and invoicing: Numbers Reader
If you cannot choose, keep a note for one week of every task that took more than 30 minutes and felt repetitive. The task that appears most often is your first assistant.
How do I build my own AI assistant, step by step?#
You build it in five steps: fill in a build sheet, write the instructions, add the knowledge files, fix the output shape, and run a first test. Allow about an hour for the first one.
In Claude, an assistant lives in a Project: a workspace with its own instructions and files. Every chat you start inside the Project already knows them. According to the Claude Help Center (checked October 2026), Projects are available on free accounts, and free users can create up to five.
Step 1: Fill in the build sheet#
Before you open Claude, answer these questions on paper. We call this the Agent Build Sheet.
- The job: one sentence. "Turn a customer's request into a priced quotation."
- Who uses it: you, your receptionist, your sales team.
- What goes in: what you will paste or upload each time. A WhatsApp message, a tender PDF, meeting notes.
- What comes out: the finished thing, described exactly. A quotation with a table and a total.
- The rules: what it must always do and must never do.
- The files it needs: the documents a new employee would need to do this job well.
- How you will test it: one real example where you already know the right answer.
If you cannot answer question 4 clearly, the assistant will not be able to either.
Step 2: Write the instructions#
Open Claude, choose Projects, then New project, and give it a plain name such as "Quotation Builder". Find the box for the project's instructions and write them like a job description for a new staff member. Use the four parts of a good prompt: role, context, task and format.
You are the quotation assistant for [business name], a [type of business]
in [town]. Our customers are [who they are].
Your job: when I paste a customer's request, write a quotation using ONLY
the prices in the attached price list. Never invent a price or a service.
If the customer asks for something not on the list, say so and suggest
the closest item.
Always:
- Ask me one question if the request is unclear, before you price it.
- Show each item, its price in Ksh and the total.
- Add our payment and booking terms from the attached terms file.
- Write in warm, simple English that works on WhatsApp.
Never:
- Offer a discount unless I tell you to.
- Promise a date or time. I confirm bookings myself.Short and specific beats long and vague. If you find yourself writing "be professional", replace it with what professional means for you: "greet by first name, no slang, sign off with the business name".
Step 3: Add the knowledge files#
Upload the documents the assistant needs, inside the Project. Good knowledge files are short, current and written for this one job.
- a price list with exact names and amounts
- a description of each service or product: what is included, how long it takes
- your terms: payment, deposits, cancellations, delivery
- two or three past examples of the finished work that you were happy with
Remove anything personal first. Do not upload customer lists, ID numbers, M-Pesa statements or staff records. Kenya's Data Protection Act, 2019 applies whatever tool you use. Replace real names with labels such as "Customer A".
Step 4: Fix the output shape#
Tell the assistant exactly what the finished answer looks like, down to the order of the sections. This is the step most people skip, and it is why their answers change shape every time.
Every quotation must follow this layout:
1. One line greeting the customer by first name.
2. A table: Service | Duration | Price (Ksh).
3. The total, in bold.
4. Two lines of terms from the terms file.
5. One closing line inviting them to confirm on WhatsApp.
Nothing else. No headings, no emojis.Step 5: Run the first test#
Test the assistant on a real request where you already know the right answer. Then check it against your list of rules, one by one.
- Are all the prices from the price list, and is the total right?
- Did it ask a question when the request was unclear?
- Did it follow the layout exactly?
- Did it avoid anything on the "never" list?
When something is wrong, do not just fix the answer. Fix the instructions, so the mistake does not come back. Most assistants need three or four rounds of this before they are reliable.
Worked example: a Quotation Builder for a salon#
Here is the assistant we build as a demonstration in class. Riziki Beauty Lounge is an invented salon we use for teaching. It is not a real business and the prices below are not real prices.
The salon owner spends her evenings answering WhatsApp messages like "How much for braids and a pedicure on Saturday?" Each reply takes ten minutes of checking the price list and typing. She builds a Quotation Builder with four knowledge files:
- Price list: every service and its price in Ksh.
- Service menu: what each service includes and how long it takes.
- Booking terms: how bookings are confirmed and paid for.
- Sample quotations: three replies she wrote herself that customers accepted.
Now she pastes the customer's message into the Project and gets a quotation in her layout, in her tone, with the right prices and the total. She reads it, changes a word if needed, and sends it. The assistant drafts. She decides.
The difference from a blank chat is easy to see. A blank chat has no price list, so it has to ask, guess or leave gaps, and it picks a new layout each time. Inside the Project, it works from her prices, her layout and her past replies.
What mistakes make an AI assistant useless?#
Most assistants fail for one of five reasons, and all five can be fixed in the instructions or the files.
- The job is too big. "Help with my business" is not a job. "Turn a request into a quotation" is. Build one assistant per job.
- The output shape is missing. Without a fixed layout, every answer looks different and you spend the saved time reformatting.
- The files are old or too long. An outdated price list gives wrong quotations with total confidence. Upload the three pages that matter, not the 80-page manual, and replace files when prices change.
- No "never" list. If you do not say "never invent a price", it will, sooner or later.
- Nobody checks the drafts. An assistant is fast, not infallible. Read every draft before it reaches a customer, especially figures, dates and names.
Can I build it with a trainer beside me?#
Yes. Building an assistant for your own job is what the whole of AI Essentials leads up to. Cloudwise Limited, an ICT company in Westlands, Nairobi, runs hands-on AI training on Claude for individuals and teams.
In AI Essentials, where you leave with your own AI assistant, you spend one Saturday, 9:00 am to 1:00 pm, at Delta Annex in Westlands or live on Google Meet. You bring a real task, fill in the Agent Build Sheet, build your assistant as a Claude Project and test it on your own work with the trainer. You take home the workbook, the build sheet and the Prompt Pack of 72 prompts. The next class is on Saturday 7 November.
If you have never used Claude, start with our guide on how to use Claude AI for free. If you want the assistant joined to your calendar and inbox, the two-Saturday AI Productivity Programme adds a live connected workflow and a 30-day plan.
Frequently asked questions#
Do I need a paid plan to build an AI assistant?#
No. Claude's free plan lets you create Projects with your own instructions and files, which is all a first assistant needs. The free plan has a usage limit, so very long files or heavy daily use may run out of allowance. Build and test on the free plan first, and pay only if the assistant proves useful.
Is this the same as a custom GPT?#
It is the same idea. A custom GPT in ChatGPT and a Project in Claude both hold instructions and files for one job. The method in this guide works for either: a clear job, rules, short knowledge files and a fixed output. We teach on Claude because its Projects handle long documents well and work on a free account.
Can the assistant send messages for me?#
No. The assistant drafts and you approve. It writes the quotation, the reply or the report, and you read it and send it yourself. Tools that act on their own exist, but for anything a customer will see, keep a person in charge of the send button. That is how mistakes stay small.
Leave with your own AI assistant: AI Essentials, one Saturday, Ksh 5,500. Next class Saturday 7 November, 9:00 am to 1:00 pm, at Delta Annex, Westlands, or live on Google Meet. Did the Ksh 500 Kickstart? It counts toward Essentials for 14 days. Book at cloudwise.co.ke/ai-training/essentials.
